Refund Policy

At Gitanjali Travel Agency, we understand that travel plans can change unexpectedly. Our refund policy is designed to be fair and transparent, balancing the needs of our customers with the commitments we make to our service partners, such as hotels, airlines, and transport providers.


 

1. General Refund Eligibility

  • Booking Confirmation: Refunds are applicable only to bookings that have been fully confirmed with an advance payment. The refund amount will be calculated based on the total amount paid, not the original full price of the service.

  • Service Fee: Please note that a standard service fee of 10% of the advance payment is non-refundable and will be deducted from all refunds to cover administrative and processing costs.

  • Third-Party Policies: Any refund is subject to the cancellation policies of our third-party suppliers (e.g., airlines, hotels, train services). While we will do our best to secure a refund for you, we cannot guarantee a refund from a third-party supplier if their policy states otherwise.


 

2. Cancellation and Refund Schedule

The refund amount depends on when you cancel the confirmed service. The cancellation date is the date on which we receive your written notification via email at support@gitanjaliagartala.com.

  • More than 30 Days Before the Service Date:

    • You will be eligible for a refund of the advance payment, after deducting the 10% service fee.

  • 15 to 30 Days Before the Service Date:

    • You will be eligible for a refund of 50% of the total amount paid.

  • Less than 15 Days Before the Service Date:

    • Unfortunately, cancellations made within this period are non-refundable. The full amount paid will be forfeited. This is because significant costs have already been incurred to secure your bookings with our partners.

  • No-Show:

    • If you fail to show up for your confirmed booking without prior notification, the entire amount paid will be forfeited, and no refund will be issued.


 

3. How to Request a Refund

To request a cancellation and refund, you must send an official email to support@gitanjaliagartala.com. The email should include:

  • Your full name

  • Booking reference number

  • The service(s) you wish to cancel

  • A brief reason for the cancellation

Our team will process your request within 5-7 business days and notify you of the eligible refund amount. Once approved, the refund will be credited back to the original mode of payment within 10-15 business days.


 

4. Special Circumstances & Force Majeure

In the event of unforeseen circumstances beyond our control, such as natural disasters, political instability, or other “force majeure” events, Gitanjali Travel Agency reserves the right to modify or cancel services. In such cases, we will work with you to find a suitable alternative or provide a full refund of all amounts paid, excluding any non-refundable costs imposed by third-party suppliers. We are not liable for any additional costs, such as flights or other travel arrangements, incurred by the customer.
